Admission Policy and Procedure – 2009
(B.Tech Programme)

 
     
 
1.
The Admission Committee for Under Graduate Programme is responsible for undertaking Engineering Programme admission procedure for the academic session 2009-2010. The Admission Committee comprises of Director (Admissions), Faculty Members and Staff of the University.

Total number of Seats available for admission : 240
 
3.
3. B.Tech in Petroleum Engineering :
4 year Bachelor of Technology (B. Tech.) in Petroleum Engineering with Specialization (Branches) in
- Instrumentation & Control (60 seats)
- Modeling & Virtual Reality (60 seats)
- Operation & Production Engineering (60 seats)
- Reservoir Engineering (60 seats)
Branch (specialization) would be offered at the time of admission on the basis of merit.

Eligibility:
Candidates should have
• Passed Higher Secondary Examination (or its equivalent) with Physics, Chemistry, and Mathematics
• AIEEE - 2009 Score Card

Seat allocation to the various categories (SC, ST, PH, and General) is in accordance with the Government Rules. The number of seats under each category will be posted in the School Of Petroleum Technology website along with the Merit Lists on 9th June 2009. Seats not filled-in under any Reserved Category would be allotted under the corresponding General Category (Gujarat and Rest of India) Merit List (Please read the Para 6: Merit List).
Definition of NRI: NRI candidate is the child/ward of Non Resident Indian (NRI), and has studied and passed the HSC or equivalent examination from schools outside India.

Subject to conditions, maximum of 8 seats may be allocated to the Persons of Indian Origin (PIO) candidates and maximum of 4 seats to the candidates belonging to the Gulf Quota. These seats are supernumerary. Children of working Indians in Gulf countries under relevant working visa may apply under the Gulf Quota (GQ).

The NRI/PIO/GQ candidates shall be admitted on the basis of relative merit in HSC or equivalent examination.

Merit List:
Based on AIEEE – 2009 Rank, two sets of Merit Lists shall be prepared; one set for the candidates passing Higher Secondary Examination from the schools in Gujarat State (Gujarat Merit List: for 50% of the Total Seats), and the other set for the candidates passing Higher Secondary Examination from the schools in rest of India (Rest of India Merit List: for 50% of the Total Seats). Schedule Caste, Schedule Tribes, and Physically Handicapped candidates would be listed in these Merit Lists with proper indication as per the Government rules. There will be separate extract for each of these three categories. In addition, there will be a separate Merit List for NRI candidates.
 
7.
Counseling and Admission:
The candidates included in the School of Petroleum Technology Merit Lists for the admission in the 2009–2010 session are required to attend, in order of merit and as per notified schedule, the counseling sessions on 24th or 26th June 2009 as per their position in the School of Petroleum Technology Merit Lists. Details of the ‘counseling session schedule’ will be posted on the School of Petroleum Technology website on 7th June 2009 along with the Merit Lists. No individual communication shall be made in this regard.

A candidate is required to be present personally for Counseling and Admission at the scheduled place, time and date.
 
9.
If a candidate is unavailable on the date of counseling due to serious illness/accident or unavoidable circumstances, her/his guardian is required to be present on the prescribed date and time along with the authority letter from the student and documentary evidence(s) showing reason for absence, by obtaining the prior approval of the Director(Admissions).
 
10.
In case a candidate fails to attend the counseling in the specified session and reports later on the same day or on a later date with admission procedure still continuing; she/he shall be considered as the last candidate of that session and will be offered admission based on the availability of seat.
 
11.
Verification of all the documents including mark sheets, AIEEE 2009 Admit Card, AIEEE 2009 Score Card, Identity Proof and Caste Certificate (from Competent Authority as notified by the Government) will be undertaken by the Undergraduate Admission Committee.
 
12.
At the Counseling Session, after the verification of the original documents, the counselors at School of Petroleum Technology will provide the necessary counseling to the candidates. The candidates are required to exercise their choice for the Branch in writing at that time.
 
13.
On fulfilling the above requirements and payment of requisite fees, ‘Provisional Admission’ will be offered.
 
14.
Last date of admission is 7th July 2009. All candidates should submit the required original documents for confirmation of admission latest by 7th July 2009; failing which ‘Provisional Admission’ shall stand cancelled.
 
15.
If at any stage, the information provided by a candidate is found to be false, her/his candidature will be cancelled and she/he will be debarred from applying for admission in School of Petroleum Technology for two years.
 
16.
All expenses for attending the counseling are to be borne by the candidates.
 
17.
Instructions to the NRI candidates:
(a)
Based on “Provisional Admission Offer Letter”, the candidate should contact Indian Embassy of their country for obtaining a valid Student Visa for complete tenure i.e., 4 years/5 years. The candidate will have to pay requisite fees for Visa at their Embassy.
(b)
Following Documents are required to be produced for provisional admission under the NRI Quota

‘O’ level or equivalent certificate

‘A’ level or equivalent certificate if results are declared; otherwise it is optional until the confirmation of admission.

VISA (working/business) of NRI/Guardian of NRI/Gulf candidate (attested photocopy) and Citizenship Proof of PIO Candidate

Employer Certificate or Salary Certificate of NRI/Guardian of NRI/PIO/Gulf candidate (attested photocopy)

Copy of the Passports of both Parents/Guardians and the candidates (attested photocopy)

18.
Fee Structure and Payment Schedule

  Candidate is required to pay the fees of the School, at the time of admission. No extension of time shall be granted for paying the fees. Failure to remit the fees shall be considered as non-acceptance of the admission to the B. Tech Programme of School of Petroleum Technology; under such circumstance, the seat would be offered to the next candidate in the Merit List.

Mode of Payment:
Payment by Demand Draft:
Fees shall be paid by Demand Draft / Banker’s Cheque / Pay Order in favour of “PANDIT DEENDAYAL PETROLEUM UNIVERSITY” payable at Ahmedabad, Gujarat. The said demand draft will be handed over to the Admission Office as per stipulated timeline.

Cash Payment:
The University and its Schools do not accept cash payment.

 
20.
Education Loan:
Education loan facility will be made available to the eligible students. Oriental Bank of Commerce has agreed to provide study loans at preferred rate of interest to the students of School of Petroleum Technology The School is also in process to tie up with other banks for the financing of the Programme tuition fees and other expenses. Bank officials will remain present at the time of Counseling.
   
21. Scholarships and Freeships:
Eligible students will be awarded:
• Merit Scholarship
• Merit –cum Means Scholarship
• Fee Waivers and
• Freeships
Detailed Scheme shall be announced and published at the School website www.iptg.ac.in prior to Counseling and Admission.
   
22.
Cancellation of Admission and Refund of fees:
(a)
If Undergraduate Admission Committee is satisfied that a certain candidate has been wrongly admitted, the admission shall be cancelled forthwith with the approval of the Director, School of Petroleum Technology. In such an event the fees shall be refunded.
(b)
Refunds for withdrawal of admission will be as per the following provisions (Based on notification no. 14-4/2007 – U.3 (A) of Ministry of Human Resource Development, Government of India).
(1)
If the candidate informs School of Petroleum Technology about her/his withdrawal of admission in writing on or before 9th July 2009; Rs. 82000/- will be refunded after the deduction of Rs.1000/- as processing fee.
(2)
If the admission is withdrawn by the candidate after 9th July, 2009 and vacant seat is filled by another candidate by the date of beginning of the First semester, Rs. 82000/- will be refunded after the deduction of Rs.1000/- as processing fee.
(3)
In case the seat remains finally unfilled, only the Caution Money Deposit (Rs.10,000/-) and Library Deposit (Rs.3000/-) i.e., a total of a sum of Rs.13000/- will be refunded.
  For withdrawal of admission and seeking the refund, the candidate is required to submit the fee receipt, admission letter and the letter of request duly signed by her/him and counter signed by her/his parent or guardian.
   
(d)
Operating the waiting list:
The withdrawal of admission up to 9th July, 2009 shall be notified on the School of Petroleum Technology website. Availability of seat(s), if any, to the waitlisted candidates for the admission will be posted on the School of Petroleum Technology website on 12th July 2009. Waitlisted candidates seeking admission should report at the School of Petroleum Technology, Gandhinagar, Raisan, Dist. Gandhinagar at 10.00 a.m. on 18th July 2009. No individual communication shall be made in this regard.
 
23.
The above Rules are subject to modifications whenever found necessary by the Director (Admissions).
 
24.
Jurisdiction:
The Admission Policy & Procedures are subject to the Jurisdictions of Hon’ble court of Ahmedabad.
